Join our team as our Office Coordinator, playing a key role in the smooth running of our office while providing administrative support to our Board and Committees.

About the role

Working in the Office of the CEO, this role supports the smooth day-to-day operation of the Carers Victoria office while providing key administrative support across the organisation and to our board and committees.

What you’ll be doing

  • Provide high-level administrative support, including diary management, meeting coordination, document preparation, and general staff support.
  • Act as a warm, professional first point of contact for the office, managing office queries and providing responsive administrative assistance as needed.
  • Coordinate internal and external meetings, including invitations, agendas, room bookings, catering, and preparation of meeting materials.
  • Coordinate Board and Committee processes, including the collection and preparation of papers, meeting logistics, and distribution of materials.
  • Support the day-to-day operation of the office, including managing supplies and amenities, office access, mail, and general administration.

 

About you

To be successful in this role, you’ll bring:

  • Demonstrated experience in executive support, office coordination or a similar role.
  • Have well-honed organisational, interpersonal and communication skills.
  • Ability to manage multiple priorities, with guidance.
  • Flexibility and adaptability, with the ability to think on your feet.
  • Strong proficiency with the Office 365 suite, with the ability to format, refine and produce a range of professional documents.

 

Qualifications

  • At least 4 years’ experience in an office coordination or a similar role
  • Willingness to provide a current Working with Children Check and undertake a police check prior to commencement

  • Salary: $92,494 (gross, pro rata) plus superannuation, with some flexibility to negotiate based on experience and qualifications.
